This Privacy Policy explains how Easy Order Fulfill ("Easy Order Fulfill," "we," "us," or "our") collects, uses, discloses, and protects information in connection with our Shopify application and its dashboard at app.easyorderfulfill.com (together, the "App" or "Service"). By installing or using the App, you agree to the collection and use of information as described in this policy.
1. Who this policy covers
The App is installed by Shopify merchants ("you," "merchant," or "Store") to automate order fulfillment, route orders to vendors, track shipments, and manage related settings. This policy covers:
- Merchant data — information about your store and your staff accounts that you or Shopify provide to us.
- Customer data — limited order and shipping information about your customers that passes through the App solely to fulfill their orders.
- Vendor data — information about suppliers or vendors you invite to use the Vendor Portal to fulfill orders on your behalf.
If you are a customer of a store that uses Easy Order Fulfill, please also refer to that store's own privacy policy. We act as a data processor (or "service provider") on behalf of the merchant for customer order data, and as a data controller for merchant account information described below.

We do not collect payment card details. Subscription billing for the App itself is handled entirely by Shopify through the Shopify Billing API; we never see or store your card number.
3. How we use information
- To provide the App's core functionality: importing orders, routing them to the correct vendor or warehouse, generating packing slips and shipping labels, and recording tracking and delivery status.
- To operate the Vendor Portal so vendors can view and update the orders assigned to them.
- To run the automations you configure, including optional Google Sheets/Drive imports and exports.
- To calculate and display vendor cost reports and fulfillment statistics inside your dashboard.
- To communicate with you about your account, provide support, and respond to messages sent through the Contact Us form.
- To send billing- and trial-related notices, and, only if you opt in, product or marketing updates.
- To monitor, secure, and troubleshoot the App, and to detect and prevent fraud or abuse.
- To comply with legal obligations and Shopify's Partner Program requirements, including mandatory data-subject request handling described below.
We do not sell personal information, and we do not use customer order data for advertising purposes.
4. How we share information
We share information only as needed to run the Service:
- Shopify — the App communicates with the Shopify Admin API to read and update orders, fulfillments, and shop settings.
- Your vendors — order and shipping details you assign to a vendor are shared with that vendor through the Vendor Portal so they can fulfill the order.
- Google — if you connect Google Drive/Sheets, data you choose to sync is sent to your own Google account under your authorization; we do not access it for any other purpose.
- Service providers — we use infrastructure and support vendors (such as our hosting provider and help-desk/live-chat provider) who process data on our behalf under confidentiality obligations, solely to help us operate the App.
- Legal requirements — we may disclose information if required by law, subpoena, or to protect the rights, property, or safety of Easy Order Fulfill, our merchants, or others.
- Business transfers — if we are involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this policy.
We do not share personal information with third parties for their own independent marketing purposes.
5. Data retention
We retain merchant account data for as long as the App is installed on your store. Order, shipment, and vendor data are retained for as long as needed to provide the Service and to meet reasonable business, tax, and legal record-keeping needs.
When you uninstall the App, we stop syncing new data from your store.
In line with Shopify's App Store requirements, we honor shop/redact
requests and delete or anonymize shop data after the retention window
Shopify specifies (currently 48 hours after uninstall, unless we are
legally required to retain it longer).
6. Your rights and Shopify mandatory webhooks
The App implements Shopify's mandatory GDPR compliance webhooks:
- Customer data request — if a customer asks a store for the personal data we hold about them, Shopify notifies us and we provide the relevant order/shipment records to the store.
- Customer redact — if a customer requests deletion of their data (or 6 months after their last order, per Shopify's schedule), we delete the customer's personal information from our systems.
- Shop redact — after a store uninstalls the App, we delete the store's data from our systems following Shopify's retention schedule.
Depending on where you live, you may have additional rights over your personal information — for example, under the EU/UK GDPR or U.S. state privacy laws (such as the CCPA/CPRA) — including the right to access, correct, export, or delete your data, or to opt out of certain uses. To exercise these rights, contact us using the details in Section 10; if you are a customer of a store using our App, please also contact that store directly, as they control your order data.
7. Data security
We use industry-standard safeguards to protect information, including encrypted connections (HTTPS/TLS) for all traffic to and from the App, encrypted storage of Shopify access tokens, access controls limiting who on our team can view production data, and token/password-protected access to the Vendor Portal. No method of transmission or storage is 100% secure, but we work to protect your information using commercially reasonable measures appropriate to its sensitivity.
8. International data transfers
Our servers are located in the United States. If you access the App from outside the United States, your information will be transferred to, stored, and processed in the United States, which may have data protection laws different from those in your country.
9. Children's privacy
The App is a business tool intended for use by Shopify merchants and is not directed to children. We do not knowingly collect personal information from children under 16.

11. Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons. We will post the revised policy on this page with an updated "Last updated" date. Material changes will be communicated through the App or by email where appropriate.
